Duplicate PBFs

Dear Child Care Providers,

There is a current system issue that is allowing duplicate enrollment records to be added for a child receiving CCAP. Family Support has been given instructions for how to handle this system issue, and DCC has been working with the help desk team to learn the cause and find a resolution.

What this means for you, as the provider:

  • If you receive multiple DCC-94 Child Care Service Agreement and Certificates for a child with identical information, report this to CCAPProviderPayments@ky.gov, for next level steps.
  • If you receive multiple PBF records for a child with the same enrollment information, you should request payment using only one of the PBF records and code any remaining records with code 55 no payment requested to avoid any improper payments.
  • If you receive or have received payment for duplicate enrollment PBF’s the Division of Child Care (DCC) claims team will recoup any improperly received funds.
