What Trainers Need to Know about Timely Credit Entry in KY TRIS

As a Kentucky Early Care and Education Credentialed Trainer, your role in maintaining accurate and timely records is not just best practice, it’s a regulatory requirement. According to Kentucky Administrative Regulation 922 KAR 2:240, trainers must enter attendance credit into the cabinet-designated data system (KY TRIS) within ten (10) calendar days of conducting a training.

This ten-day window includes weekends and holidays and the day of the training, so it’s important to plan accordingly. Whether you enter the credit yourself or have someone else enter the credit for you, the responsibility ultimately falls on you, the credentialed trainer. Failure to meet this deadline can have serious consequences. It is your credential and your responsibility.

What Happens If You Miss the Deadline?

Section 15 of 922 KAR 2:240 outlines the potential revocation of a trainer’s credential. If the Trainer:

· Fails to comply with Section 11 or Section 12, which includes timely entry of training records.

The Division of Child Care (DCC) will issue a warning for the first offense, but repeated violations will lead to credential revocation. If your credential is revoked, you may request a hearing or reapply after two years.

Ideas to maintain compliance with the state regulation:

· Set reminders immediately after a training session.

· Verify entries in KY TRIS before the deadline, if someone else is entering the information for you and communicate with that person.
